Printer not responding — where to start?
If your printer isn't working, first check these three things: is the printer switched on and is the cable properly connected, is the printer not set to "offline" in Windows settings, and is the print queue not stuck. In 90% of cases, this resolves the problem within five minutes.
1. Check the basic connection
First check the obvious:
Restarting the printer (switch it off completely, wait 30 seconds, turn it back on) resolves a surprising number of problems.
2. Printer is shown as "offline"
Windows sometimes shows the printer as offline even when it's connected. Go to Settings > Bluetooth & devices > Printers & scanners, click the printer and choose Manage printer. Uncheck "Use printer offline" if that option is active.
Also set the printer as the default printer to avoid confusion with other printers.
3. Print queue is stuck
A stuck print job blocks all subsequent jobs. Here's how to clear the queue:
If the queue won't clear, you can restart the Print Spooler service via Task Manager or Services.
4. Outdated or corrupted driver
An outdated or incorrect driver is a common cause of printer problems. Remove the existing driver via Device Manager and download the most recent version from the printer manufacturer's website (HP, Canon, Epson, Brother, etc.).
5. Paper jam
Remove jammed paper carefully and in the direction of the paper path — never pull against the direction, as this damages the rollers. Then check all access panels to make sure no pieces of paper remain.
6. Ink or toner cartridge not recognised
Remove the cartridge, gently clean the contact points with a dry cloth and reinsert it. Ensure that the protective film is completely removed on a new cartridge.
